Questions to ask before booking a cold-chain delivery

A cold-chain delivery involves more than a refrigerated vehicle. Asking the right questions helps align product requirements, handling arrangements and expectations before the journey begins.

What conditions does the product require?

Obtain the required handling conditions from the product supplier or responsible quality team. Share those instructions with the transporter and receiving site. If requirements are unclear, resolve them before booking rather than relying on assumptions.

How will the load be handled?

Discuss how long loading may take, where the goods will wait and who is responsible at each handover. Ask whether different goods can share the planned load and flag anything that may need separate handling. Product compatibility should be assessed for the actual shipment.

What information will be available?

Ask about the monitoring arrangements for the vehicle, shipment updates and the records needed at delivery. Agree how the team will communicate if the receiving site is delayed or circumstances change during the journey.

What should the receiver prepare?

The receiving team should know the planned arrival window and have suitable space ready. Confirm who will inspect and accept the delivery. Good coordination helps reduce unnecessary waiting and supports a more orderly handover.
